Where work waits for a reminder

An order arrives, but the next step waits for a chat message. A document changes while another department uses the older version. A manager learns about a delay from the customer. Workflow automation is useful when it carries information forward and makes responsibility visible.

We begin with one process: approval, order preparation, assignment or document delivery. Not every action needs automation. People may keep important decisions while a system prepares information, shows a queue and preserves the outcome.

Describe the states people actually use

We examine participants, incoming information and the events that trigger each step. What does “ready” mean? Who can return a task? What happens when a document is incomplete or an order changes? Where is information copied manually, and why?

Walking through anonymised examples with the people doing the work helps reveal differences between formal procedure and daily practice. We agree which steps need to happen and how exceptions are handled. That may change parts of the existing process.

Automate receipt, validation and assignment

The first stage might connect request receipt, required-field validation and assignment. The team can see the state, next action and reason for a pause. Repeated events need explicit rules so they do not create duplicate work.

Where documents, CRM or external services participate, unavailability becomes an identifiable process state. Some tasks only need rules and ordinary forms. AI may help with a defined task whose output can be checked. We choose the components once the process is understood.

Verify the rules with one order type

Possible deliverables include a state map, transition rules, participant permissions and a working path for one order type. Acceptance should cover normal completion, requests for clarification, repeated actions and an unavailable external system. Further processes and support can then follow observed team needs.
