A captured request is only the beginning

A customer submits a form. A manager receives an email. The CRM record arrives later, a document is created manually and the delivery team gets a separate message. Every application may work, while the handoff between them remains uncertain. A useful integration makes that handoff visible and repeatable.

Your CRM can own customer relationships while another application owns fulfilment. Moving everything into one tool is not always necessary. The essential decisions are which system owns each field, who can change it and which status represents an actual business action.

Trace a request through the team

We trace one request from arrival through assignment and the customer update. We identify required fields, repeat requests, permissions and the difference between a new order and a duplicate. We also examine API access, existing CRM limitations and the information each participant actually needs.

Anonymised examples should include routine work and exceptions: a changed customer detail, a failed document step or an unavailable integration. These examples turn abstract requirements into acceptance scenarios.

Connect the form, customer record and task

An initial release might connect the enquiry form, a customer record and one operational task. Receipt and downstream delivery are separate steps: an accepted request should remain available when the receiving application is unavailable. An operator needs to see pending work and repeat it safely.

Change history, reference-data mapping, delivery queues and failure notifications may be appropriate. We include them where the process requires them. Conflicting updates require an agreed rule before synchronisation starts.

Can the team recover a failed handoff?

The deliverables can include a working end-to-end scenario, field and status definitions, recovery instructions and tests for duplicates and partial failures. The business should be able to answer a simple question: who owns this request now?
