Mailgun and Google Apps Script: event-driven email

Personalised messages, spreadsheet data, Forms and Calendar triggers, delivery reporting and error handling.

Email automation

Event → message → status

Concept illustration of the workflow

Email triggered by forms and calendar events

The Mailgun brief described email automation connected to Google Workspace. Messages could acknowledge a form submission, remind someone about a calendar event or use recipient data in Google Sheets. The intention was to connect an operational event to a personalised message and then record what happened to it.

Apps Script and Mailgun

Google Apps Script connected Mailgun’s API with Sheets, Forms and Calendar. Templates used fields such as name, date and the requested action. Template updates were intended to remain manageable without editing application code, while Sheets held recipients and variable message content.

The scope included campaigns as well as transactional messages and reminders. Delivery status, opens and clicks were to be collected from Mailgun and written back into Sheets for reporting. These signals have different meanings; an open or a click is not interchangeable with successful completion of a business task.

Failures and ownership

The implementation outline covered API error logs, failed deliveries, retry behaviour and a fallback for critical messages. It named Apps Script properties for credential storage and included recipient consent and unsubscribe handling as requirements. Credentials, customer addresses and account access details are omitted here.

A dependable workflow also needs an owner for undelivered messages and rules for repeated triggers. The original plan called for tests of personalisation, delivery and tracking, but did not publish campaign volumes or measured performance. For a new implementation, quotas and delivery constraints should be reviewed against the actual Workspace and email accounts.
