The inventory brief described a Google Sheets system for receipts, outgoing stock and available quantities. Item identifiers, names, categories, prices, suppliers and reorder thresholds formed the core records. The business need was to make stock information usable for daily operations and purchasing decisions.

Workbook structure and updates

The outlined workbook separated inventory records, low-stock alerts and reports. The plan used Google Apps Script for updates, notifications and scheduled summaries. Mailgun or Twilio were named for email and SMS alerts when stock crossed a threshold or a critical change occurred. Google Forms could provide a controlled input path for new stock information.

Barcode-scanning tools or devices were part of the scope for item lookup and updates. Validation lists kept category and supplier names consistent; formulas and conditional formatting exposed discrepancies. Pivot tables and charts supported usage trends, stock value, reorder analysis and the distinction between fast-moving and underperforming items.

Permissions and testing

Managers would have broad access, staff restricted editing and external stakeholders a read-only view where appropriate. The source specified Sheets permissions and protected areas, without establishing a separate application-level security model. Stock movements and their consequences need clear rules when several people edit the same workbook.

The implementation outline included sample-data tests for updates, alerts and reporting, followed by script optimisation. The brief does not give inventory size, response times or a confirmed operational rollout. A spreadsheet can be a useful first system when its boundaries and ownership are explicit.
