What to decide before building a car rental app

Availability, booking ownership, documents and exceptions as design questions.

What happens after a booking request?

A car rental interface may look simple: dates, vehicle, request. The difficult questions often sit behind it. What does availability mean? When does a request become a confirmed booking? Who can change it?

These are the questions I would use to plan a rental product. They should not be read as a feature list for the project shown on this site.

Define availability

Decide which system owns the fleet and the calendar. Consider unavailable vehicles, maintenance, late returns and changes between a search and confirmation. If availability is reviewed by staff, make that expectation clear in the customer interface.

Separate requests and confirmations

Describe the states and transitions. Who confirms? Can a customer amend dates? What happens if two people request the same vehicle? Choose the business rule before implementing the button.

Record the transition and its responsible actor. Keep a record of the decision, then use notifications to communicate it.

Map the documents and operational handoff

List the documents required at each stage and who can access them. Include retention and deletion needs in the design. Avoid putting sensitive customer data into unrestricted shared folders or analytics.

Determine whether CRM stores customer relationships, booking status or both. Decide how discrepancies are reviewed and which system remains authoritative.

Test a small, complete rental journey

Pick one location, vehicle category or customer journey when appropriate. Explicitly list manual steps and exceptions. Test a cancellation, changed dates and an unavailable downstream system alongside a successful request.

Once the journey is defined, discuss the first application release and API connections to operations. This keeps the interface and the internal workflow in the same product scope.
