Plan customer actions and the team’s response together
We identify customer and operator roles, what can happen before registration and who confirms a request. We explore cancellation, unavailable capacity and changing requirements. We agree what each status means, which notifications are needed and who is responsible for the next step.
We also examine data sources, CRM constraints, payment requirements and the information the product needs. We choose a complete scenario for the first release and set aside features that can wait.
A first portal scenario
An initial portal might let customers submit a request, see its state and receive a document. The team also needs a queue, an owner and a way to handle exceptions. An external integration should not display success before the receiving system has accepted the action.
The interface needs understandable errors, mobile usability, accessibility and behaviour under slow connections. The visual design should help customers understand their options and complete the task.
